The Money screen answers four questions in order: what is in the box, where it is sitting, who is not square, and what just happened. This guide reads it top to bottom, then works one event through with real numbers. It describes what the screen shows; the rules behind it are the app's, and nothing here changes them.
This guide describes a league and events that are in the books. The app's words are In the books and Off the books; off the books an event records who won and how much, but no money moves through the ledger, so none of the figures below is recorded for it.
Open Money from the menu. It has two tabs, Overview and Transactions. Overview is four panels: In the box, The pots, Player tabs and The trail. On a wide screen The trail sits in a second column beside the others. The page's ☰ menu holds Record a club transaction.
In the box is all the money the league is holding. Under it are up to three figures, and they always add up to it:
If it helps to picture it, In play is an envelope that belongs to the event that is running, and each pot under Owed back out is a jar that carries over from one event to the next. The screen's words are the ones to look for; the picture is only there to explain them.
An ace pot is Owed back out even while an event is running. A buy-in taken under a payment structure is split when it is collected: the ace pot slice is Owed back out, the club slice is The league's, and the rest is In play.
In the box is the app's figure, not a count of the cash box. It moves only when you record something: a buy-in taken, a payout marked paid, a cash refund, a club transaction. If you handed a winner cash but have not marked that payout paid, In the box still counts it. If a player signed in but has not paid, their money is not in it, and their sign-in is still unpaid; they show under Player tabs as owing only if the club has covered their buy-in.
The pots lists The league's, each pot that is Owed back out, and In play while an event is live. An Owed back out pot with nothing in it is not listed. Each Owed back out row carries an owed out tag:
The league's on this list is labeled "Not owed to anyone". In play is labeled "This event’s pool — pays out to the winners".
On the Transactions tab, the Category filter names the same money by bucket. The buy-in money that shows as In play is Entry Fees; the others are CTP and Payouts.
Here is an example, not a promise: the figures below were read off a practice league in the app, and your numbers will follow your own prices. The league has an Open division at $20, where each $20 buy-in is split $4 to the ace pot, $1 to the club and $15 to the division's pot. It also has a $5 CTP and an optional $2 bonus ace pot.
On a Tuesday at 7:10 pm Joe pays $27 in cash: $20 for Open, $5 for CTP and $2 for the bonus ace pot.
| When | In the box | The league's | Owed back out | In play |
|---|---|---|---|---|
| 7:20 pm, Joe has paid $27 | $27 | $1 | $6 | $20 |
| 9:00 pm, you mark Joe's $15 Open payout paid | $12 | $1 | $6 | $5 |
| Then you mark his $5 CTP payout paid | $7 | $1 | $6 | $0 |
| The event is completed | $7 | $1 | $6 | not shown |
At 7:20 the $20 In play is Joe's $15 Open pot and his $5 CTP. The $1 club slice is The league's. The $6 Owed back out is the $4 main ace pot and the $2 bonus ace pot, which show together as one Ace Pot row. As each winner is paid, that money leaves In play, because it goes out of the box to the winner.
The next morning the Open pot has not vanished. It went to Joe, and the event is done, so the In play figure is gone. What is left is The league's $1 and the $6 of ace pot. A manager who checks Money the day after an event and does not find the event's pots is looking at exactly this.
A completed event also has its own Where the money went card near the bottom of its page. For Joe's event it reads "paid out on $27 collected" and then "Where the other $7 went", naming the $6 that went into the ace pot and the $1 for the club. It accounts for that one event; the Money screen adds up the whole league.
If a division's pool is not all owed to its winners, the part no one is owed is The league's once the event is completed.
Player tabs lists every player who is not square, and says "Everyone is square" when nobody is. Each row shows a signed amount:
The row's button is Collect $X for a debt or Pay out $X for credit. Either one opens a sheet where you choose how it is settled.
A player's balance credit is money the club holds for them. It can be spent on any charge the club makes, in part or in full. Credit can cover part of a charge: with $12 of credit against a $15 charge, the other $3 is collected as an ordinary payment or fronted by Club Funds. If the player owes the club money, the debt settles first: a player with $15 of credit who owes $10 has $5 of credit left to spend.
The trail shows the most recent entries. A wrong entry is never edited or deleted. It is crossed out and tagged replaced, and the right entry is recorded next to it. The Transactions tab has the full list for the current period, with filters for status (including a Voided option) and Category.
A refund works the same way. A refund is a cancellation of the money that was collected; it is not a pot. Say Sam paid $20 for Open and then pulled out before the winners were paid. The three entries from his payment ($15 pot, $4 ace pot and $1 club) are each crossed out and tagged replaced, and the $20 goes back to him. When you refund, you choose whether it goes back in cash or onto his tab; In the box drops only when it goes back in cash. Nothing sits in a "Refunds" pot afterwards. You may see Refunds in the Category filter, because entries made before refunds worked this way are filed under it. After any payout has been marked paid for the event, a refund is recorded differently from the one above, so do not expect the same crossed-out entries; The trail shows exactly what was recorded. In that case the original entries stand and the refund is a separate payment out of Club Funds. In the box still drops only when that refund goes back in cash.
☰ then Record a club transaction is for money that is not an event buy-in: a sponsor's check, an expense, or a credit or charge on one player's tab.
In the example league, a $100 sponsor check takes The league's from $1 to $101. A $10 credit on Joe's tab puts $10 under Player Credits in Owed back out and shows Joe at $10 under Player tabs.
The league's is not the same figure as Club Funds. The league's is money that is not owed to anyone, and it can be larger than Club Funds, which is the narrower balance that a payout draws on. You will find Club Funds under Settings, Balances & books, in League balances. A payout is paid from its event's pool; any amount above the pool is drawn from Club Funds, and the app refuses a payout that Club Funds cannot cover. So check Club Funds, not The league's, before you front cash beyond the pool for a winner.
To fix a completed event, open it, choose the gear (Event options), then Correct this event…. It is not offered for an event that a close has already filed in a statement; see The close. Where it is offered, it asks whether you want to fix scores, matching or sign-ins, or to fix payout amounts or payments.
Reopening moves no money and writes no new entries, so In the box does not change. While the event is reopened it counts as live again, so the In play figure comes back, and any part of the pool that had been left over moves from The league's back into In play. Money moves only when you complete the event again, and then only by what you changed.
When you are done with a period, Close the books files a statement for it. You will find it under Settings, Balances & books.
